RetrofitWorks is currently delivering a £2.5m grant scheme on behalf of the Mayor of London to retrofit privately-owned homes with residents in fuel poverty across London. Finance Assistant

Salary: £20-23,000 dependent on experience and other qualities you may bring to the team.

The Finance Assistant will undertake all financial administration duties to support the delivery of a high-quality service to all parties involved in our projects. Reporting to the Operations Manager, the key duties & responsibilities are:

  1. To make payment to suppliers and to keep records of all transactions.
  2. To issue invoices to cooperative Members for services rendered.
  3. Recording outcomes in databases and filing documents electronically.
  4. Updating proprietary software tools such as Sage or Xero.
  5. Liaising with site staff and cooperative Member companies where required to support the above activities.
  6. Undertake outbound communication either via email or telephone as necessary to resolve queries; keep relevant parties informed of the status of individual jobs
  7. Maintain records such that they are ready for external audit.
  8. Assist in the administration of customer service and compliance activity where required.

General Duties and Responsibilities

  1. Comply with the Data Protection Act and observe strictly the security of personal information.
  2. Follow and comply with all company procedures and processes, company quality systems and the requirements of any external regulators.
  3. Maintain and update all relevant systems and databases.
  4. Provide data and performance/progress reports to managers and colleagues as and when requested
  5. Take responsibility for maintaining a safe and healthy workplace and following safe practices
  6. Respond to communication from customers, subcontractors and representatives of relevant organisations, resolving all queries in a manner that builds customer loyalty and company reputation. Where appropriate, following the complaint resolution process
  7. Provide support and assistance to other members of the team and colleagues in other departments
  8. Attend departmental and other meetings, making contributions as appropriate and making suggestions for improving services and processes

The Operations Assistant will support the Operations Manager in delivering high-quality service to customers, whilst adhering to all internal, contractual and regulatory rules and guidance. They will support the growth of the RetrofitWorks cooperative by working with future and current Members

Reporting to the Operations Manager, the key duties & responsibilities are:

  1. Manage the process of customer liaison for the activities assigned to the Head Office, but also to maintain 100% visibility on the work being carried out by our field staff and Members.
  2. Oversee the checks being carried out on customers using information supplied by them.
  3. Take care with all customers but recognise that some may be regarded as vulnerable.
