Introduction to RetrofitWorks

RetrofitWorks is not-for-profit cooperative seeking to create a self-sustaining market to transform the poorly performing existing housing stock of the UK. The existing housing stock is responsible for a significant proportion of UK carbon dioxide emissions, increasing energy bills for occupants and in some cases the cause of ill health and discomfort. The building industry has been unsuccessful in delivering the significant change required and our new, transformational business model is starting to succeed with exciting times ahead.

There are many benefits that arise from improving older homes, and a cooperative works well as a trusted organisation that all stakeholders own a share of. A multi-stakeholder cooperative with members including small to medium enterprises, community based organisations, councils and other organisations brings both the supply and demand side of the market together. RetrofitWorks is run for and by each local community, building on existing local supply chains and services, and ensuring more economic and social value – wealth, jobs, skills – is retained in the local area. It has achieved this with two groups of members that drive and deliver not just energy efficiency services but moving into deeper retrofits:

Practitioners: Those seeking work be they trades or professions.
Advocates: Organisations representing the interests of groups of householders or tenants. They understand needs and want to develop the market for retrofit to help them.

It is this unique joint ownership that enables a ‘ground-up’ collaboration to be built to transform neighbourhoods.

The immediate excitement is that we have recently been awarded the delivery of a £2.5m grant scheme to oversee the retrofit of private homes focused on residents in fuel poverty across London. Our strong and open-minded client wants to work with us to transform the lives of hundreds of families. The approach we are taking is ground-breaking at a time when the wider industry is looking for solutions to ensure quality whilst maximising productivity. We need to build the team to lead the way, to demonstrate accuracy, productivity and a measurable difference to the lives of many.

Retrofit Scheme Operations Assistant

Salary:  £25-28,000 dependent on experience

The Operations Assistant will support the Operations Manager in delivering high-quality service to customers, whilst adhering to all internal, contractual and regulatory rules and guidance. They will support the growth of the RetrofitWorks cooperative by working with future and current Members

Reporting to the Operations Manager, the key duties & responsibilities are:

  1. Manage the process of customer liaison for the activities assigned to the Head Office, but also to maintain 100% visibility on the work being carried out by our field staff and Members.
  2. Oversee the checks being carried out on customers using information supplied by them.
  3. Take care with all customers but recognise that some may be regarded as vulnerable.
  4. Recording outcomes in databases and filing documents electronically.
  5. Undertake outbound communication either via email or telephone as necessary to resolve queries; keep relevant parties informed of the status of individual jobs
  6. Assist the Operations Manager in the investigation and resolution of complaints, following the complaint resolution process
  7. Maintain records such that they are ready for external audit.
  8. Assist in the administration of customer service and compliance activity.

General Duties and Responsibilities

  1. Comply with the Data Protection Act and observe strictly the security of personal information
  2. Follow and comply with all company procedures and processes, company quality systems and the requirements of any external regulators.
  3. Maintain and update all relevant systems and databases.
  4. Provide data and performance/progress reports to managers and colleagues as and when requested.
  5. Take responsibility for maintaining a safe and healthy workplace and following safe practices
  6. Respond to communication from customers, subcontractors and representatives of relevant organisations, resolving all queries in a manner that builds customer loyalty and company reputation. Where appropriate, following the complaint resolution process
  7. Provide support and assistance to other members of the team and colleagues in other departments
  8. Assist in the induction of new staff and temporary staff.
  9. Attend departmental and other meetings, making contributions as appropriate and making suggestions for improving services and processes
  10. Liaise with Finance and Administration department to ensure that invoices and payments are processed promptly, safely and efficiently
  11. Identify and participate in training and personal development activities in order to keep abreast of knowledge required to meet the requirements of the role
  12. Attend Company Events (which may be away from the workplace)
  13. Respond positively to reasonable requests to carry out other duties which are within your capabilities.
